How we look after your details

Who we are

MembersApp and Green Fee Ticket are part of the Desirable Golf Group (“we”, “us”). For anything about this notice or your details, email aaron@desirablegolf.co.uk.

What this notice covers

This notice covers the details you send us on our websites, membersapp.co.uk and greenfeeticket.co.uk, mainly through the Register your club form. It also explains who is responsible for the details of a club's members and visitors when they use that club's app or booking pages (see If you're a member or visitor of a club).

What we collect when you register your club

• Your club's name and town or county
• Your name, your role at the club, your email address and (if you give it) your phone number
• Roughly how many members the club has, what software it uses now, what you're interested in, and anything you write in the message box

To stop the form being misused, we also keep a scrambled (one-way) version of the internet address you sent it from, for about an hour. We can't turn it back into your address.

Why we use it, and our lawful basis

We use your details only to reply to your enquiry, talk to you about MembersApp or Green Fee Ticket for your club and, if your club goes ahead, set it up. Our lawful basis is legitimate interests: you've asked us to get in touch, and we need your details to do that. We don't add you to a mailing list, we don't sell your details, and we don't use them for advertising.

Who else handles it

We use a small number of trusted companies to run the service, each under contract and only on our instructions:

• Vercel, which hosts the website and the app
• Supabase, which stores the database
• Resend, which sends our emails

Some of these companies may process data outside the UK. Where they do, it's protected by the safeguards UK data protection law requires, such as the UK International Data Transfer Addendum or an adequacy decision.

How long we keep it

Enquiries are deleted automatically two years after you send them. If your club becomes a MembersApp customer, we keep the contact details we need to run the service for as long as the club uses it.

Cookies

This website doesn't use advertising or analytics cookies, and it doesn't track you across other websites. A club's members' app uses only the cookies it needs to keep a member signed in.

If you're a member or visitor of a club

When you use a club's members' app, or book, sign in or hire a buggy on its pages, that club is responsible for your details (it is the “controller”), and we look after them for the club, only on its instructions (we are its “processor”). The club decides what's kept and for how long, and its own privacy notice applies: members find it in the app under Me › Privacy notice, and visitors on the club's booking and sign-in pages. Questions about your details are best sent to the club, but you can contact us too and we'll help the club deal with them.

Your rights

Under UK data protection law you can ask us:

• for a copy of the details we hold about you
• to correct anything that's wrong, or delete your details
• to restrict or object to how we use them

Just email aaron@desirablegolf.co.uk. We'll reply within a month. If you're not happy with how we've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes

If we change this notice, we'll update it here and change the date at the top.
